This Privacy Policy explains how LegalMotion Pte. Ltd. (UEN 202648291K), registered at 1 Wallich Street, #14-01 Guoco Tower, Singapore 078881 ("LegalMotion", "we", "us" or "our"), collects, uses, discloses and protects personal data in accordance with the Personal Data Protection Act 2012 (No. 26 of 2012) of Singapore ("PDPA") and related subsidiary legislation, guidelines and advisories issued by the Personal Data Protection Commission ("PDPC").

By accessing legalmotion.pro, submitting our contact form, communicating with us by email or telephone, or engaging our legal services, you acknowledge that you have read and understood this Privacy Policy. Where the PDPA requires consent for specific processing activities, we obtain that consent separately and explicitly — for example, through the consent checkbox on our contact form, which is not pre-selected.

This policy applies to personal data we collect through our website, during client engagements and through other channels where we act as an organisation responsible for personal data under the PDPA. It does not apply to personal data processed by third-party websites linked from our site, which are governed by their own privacy policies.

1. Personal data we collect

"Personal data" under the PDPA means data, whether true or not, about an individual who can be identified from that data, or from that data and other information to which we have or are likely to have access. The categories of personal data we may collect include:

  • Identity and contact data: full name, email address, telephone number, company name, job title and business address provided through our contact form, email correspondence or during consultations.
  • Enquiry and matter data: descriptions of legal questions, commercial context, documents you voluntarily share during intake, and correspondence relating to potential or active engagements.
  • Client engagement data: where you instruct us, we collect information necessary to deliver legal services including contractual documents, corporate records, employment records, financial information relevant to matters, and communications relating to your case or transaction.
  • Technical and usage data: IP address, browser type, device information, pages visited, referring URLs and cookie identifiers collected through essential and optional cookies as described in our Cookie Policy.
  • Marketing preferences: where applicable, your preferences regarding receiving updates about LegalMotion services, which we collect only with explicit consent.

We collect personal data directly from you in most circumstances. We may also receive personal data from third parties such as referring professionals, corporate secretaries, opposing counsel or publicly available registers where relevant to a matter and where such collection is permitted by law. When we collect personal data from third parties, we take reasonable steps to ensure you are aware of the purposes of collection as required by the PDPA.

We do not intentionally collect personal data from individuals under sixteen years of age through our website. If you believe we have inadvertently collected such data, please contact us and we will take steps to delete it.

2. Purposes of collection, use and disclosure

We collect, use and disclose personal data for purposes that a reasonable person would consider appropriate in the circumstances, and not for purposes beyond what is reasonable. Our primary purposes include:

  1. Responding to enquiries submitted through our website contact form, email or telephone, including assessing whether we can assist with your matter and arranging consultations.
  2. Delivering legal services to clients who have engaged us, including drafting documents, providing advice, conducting due diligence, preparing for disputes and communicating with counterparties, courts and regulators as authorised.
  3. Managing client relationships, including billing, account administration, conflict checks and compliance with professional obligations applicable to Singapore legal practitioners.
  4. Complying with legal and regulatory obligations, including anti-money laundering requirements, court orders, requests from regulatory authorities and record-keeping obligations under applicable law.
  5. Operating, maintaining and improving our website, including analysing aggregated usage patterns where analytics cookies are accepted.
  6. Protecting our legal rights and those of our clients, including establishing, exercising or defending legal claims.
  7. Sending service-related communications that are necessary for the performance of an engagement or pre-engagement relationship.

We will not use your personal data for direct marketing unless you have given consent or an exception under the PDPA applies. If we intend to use personal data for a new purpose materially different from the purposes for which it was collected, we will obtain your consent or otherwise comply with PDPA requirements before doing so.

Our legal basis for processing varies by context. Enquiry responses rely on your consent (contact form) and legitimate interest in operating a law practice. Client matter processing relies on contractual necessity, compliance with legal obligations and, where applicable, your consent for specific activities such as sharing information with third-party experts.

3. Disclosure to third parties

We may disclose personal data to the following categories of recipients where necessary for the purposes described above:

  • Our lawyers, staff and contracted service providers who require access to perform their duties, subject to confidentiality obligations.
  • External counsel, expert witnesses, translators, process servers and other professionals engaged in connection with your matter, where disclosure is necessary and you have been informed or would reasonably expect such disclosure.
  • Corporate service providers, registries and government agencies (including ACRA, MOM and the PDPC) where filing or regulatory submission requires it.
  • IT service providers hosting our email, document management and website infrastructure, located in Singapore or jurisdictions with comparable data protection standards where we have assessed adequacy.
  • Professional indemnity insurers, auditors and regulators where disclosure is required by professional obligations or law.
  • Law enforcement, courts or other authorities when required by applicable law, court order or to protect rights and safety.

We require third-party recipients who process personal data on our behalf to provide appropriate protections consistent with the PDPA. We do not sell, rent or trade personal data to third parties for their marketing purposes.

Where personal data is transferred outside Singapore, we ensure that the transfer complies with the PDPA's transfer limitation obligations — typically through ensuring the recipient is bound by legally enforceable obligations to provide a standard of protection comparable to the PDPA, or by obtaining your consent where appropriate.

4. Retention of personal data

We retain personal data only for as long as necessary to fulfil the purposes for which it was collected, or as required by applicable law and professional conduct rules. Retention periods vary depending on the nature of the data:

  • Contact form enquiries that do not proceed to engagement are typically retained for up to twenty-four months unless you request earlier deletion and no legal obligation requires retention.
  • Client matter files are retained in accordance with our document retention policy and applicable limitation periods under Singapore law, which may require retention for several years after a matter closes.
  • Technical logs and cookie-related data are retained according to periods specified in our Cookie Policy, generally not exceeding six months for preference cookies.
  • Billing and financial records are retained as required by tax and accounting regulations.

When personal data is no longer needed, we take reasonable steps to destroy or anonymise it securely. Anonymised data that cannot reasonably be used to identify an individual may be retained for statistical and service improvement purposes.

5. Your rights under the PDPA

Subject to exceptions under the PDPA, you have the following rights regarding your personal data:

  • Access: You may request access to personal data we hold about you and information about how it has been used or disclosed within the past year.
  • Correction: You may request correction of personal data that is inaccurate or incomplete.
  • Withdrawal of consent: Where processing is based on consent, you may withdraw consent at any time. Withdrawal does not affect the lawfulness of processing before withdrawal, and we may be unable to continue providing services that require the data.
  • Portability: In circumstances where the PDPA's data portability provisions apply, you may request transmission of your personal data to another organisation in a commonly used machine-readable format.

To exercise these rights, contact our Data Protection Officer using the details in Section 9. We respond within thirty days or such longer period as permitted by the PDPC where the request is complex. We may charge a reasonable fee for manifestly unfounded or excessive access requests as permitted by the PDPA.

If you are dissatisfied with our response, you may lodge a complaint with the Personal Data Protection Commission at www.pdpc.gov.sg.

6. Data protection and security

We implement reasonable administrative, technical and physical safeguards to protect personal data against unauthorised access, collection, use, disclosure, copying, modification, disposal or similar risks. Measures include access controls limiting data to personnel who need it, encrypted transmission where appropriate, secure document storage, password policies and staff training on confidentiality obligations.

Despite these measures, no method of transmission over the internet or electronic storage is completely secure. We cannot guarantee absolute security but will notify you and the PDPC of data breaches affecting your personal data where required by the PDPA's data breach notification provisions.

7. Cookies and similar technologies

Our website uses cookies and similar technologies as described in our Cookie Policy. Essential cookies are necessary for site operation. Analytics and functional cookies are used only with your consent, managed through our cookie banner with preferences stored for six months.

8. Changes to this policy

We may update this Privacy Policy to reflect changes in law, regulatory guidance, our practices or website functionality. The "Last updated" date at the top indicates when the policy was most recently revised. Material changes will be communicated through our website or direct notification where appropriate. Continued use of our website after changes constitutes acknowledgment of the updated policy, subject to PDPA consent requirements for new processing purposes.
